You type =SUM(A2:A10), press Enter, and Excel shows exactly that: the formula as text, not the total. It’s frustrating, but the fix usually takes a few seconds.
Work through these five causes in order.
Fix 1: Turn off Show Formulas
If every formula on the sheet is showing as text, Show Formulas mode is switched on. It’s easy to turn on by accident with the shortcut Ctrl + ` (the key above Tab).
- Press Ctrl + ` again, or
- Go to Formulas → Show Formulas and click it to turn it off.
Columns usually look wider in this mode, which is another clue.
Fix 2: The cell is formatted as Text
If only some cells show the formula, they’re probably formatted as Text. Excel stores anything typed into a Text cell as plain text, even if it starts with =.
- Select the cells.
- Go to Home → Number Format and choose General.
- Click into each cell (or press F2) and press Enter to re-enter the formula.
Changing the format alone isn’t enough; the formula must be re-entered. For a whole column, select it and use Data → Text to Columns → Finish to re-enter everything at once.
Fix 3: There’s a space or apostrophe before the =
A formula must start with the equals sign. If there’s a space or an apostrophe in front of it, Excel treats the entry as text.
=SUM(A2:A10)(leading space) shows as text.'=SUM(A2:A10)(apostrophe) shows as text.
Click the cell, look at the formula bar, and delete anything before the =. This often happens when formulas are copied from websites or emails.
Fix 4: The equals sign is missing
Simple, but common. SUM(A2:A10) without = is just text. Add the = at the start.
Fix 5: Calculation is set to Manual
This one looks slightly different: you see a result, but it doesn’t update when you change the data. Excel’s calculation mode is set to Manual, often because a workbook you opened earlier used that setting.
- Go to Formulas → Calculation Options and choose Automatic.
- To recalculate once without changing the setting, press F9.
Quick diagnosis table
| What you see | Likely cause | Fix |
|---|---|---|
| All formulas show as text, columns look wide | Show Formulas is on | Ctrl + ` |
| Some formulas show as text | Cells formatted as Text | Format as General, re-enter |
| One formula shows as text | Space or apostrophe before = | Delete it in the formula bar |
| Results don’t update | Manual calculation | Calculation Options → Automatic |
Prevent it next time
- Format new columns as General, not Text, before typing formulas.
- When pasting formulas from the web, paste into the formula bar rather than the cell, and check for leading spaces.
- Learn the Ctrl + ` shortcut so you can toggle Show Formulas on purpose when you want to check your work.
In Google Sheets
Google Sheets has the same Show Formulas toggle: View → Show → Formulas, or Ctrl + `. If a cell is formatted as plain text, choose Format → Number → Automatic, then re-enter the formula.
