Tracking attendance on paper or in a messy spreadsheet makes month-end painful. This free template gives you one clean sheet per month: pick a code for each employee each day, and the totals and attendance percentage calculate automatically.

How to use it

  1. Enter the month: type the first day of the month in cell B2 (for example 1/10/2026).
  2. Choose your weekend in B3.
  3. Add your team: employee names and departments in the yellow cells.
  4. Record each day: click a cell and pick a code from the drop-down. Leave weekends and public holidays empty.
  5. Check the totals on the right at the end of the month.
  6. Next month: right-click the sheet tab → Move or Copy → tick Create a copy, then change B2 and clear the codes.

How the formulas work

  • Days present: =COUNTIF(C6:AG6,"P")+COUNTIF(C6:AG6,"WFH")+0.5*COUNTIF(C6:AG6,"H")
  • Absent days: =COUNTIF(C6:AG6,"A")
  • Attendance %: days present divided by the number of days with a code, so empty weekend and holiday cells do not count against anyone.
  • Day numbers: each column adds 1 to the start date, and stays blank after the last day of the month.

Tips

  • Public holidays: leave them blank, or add your own code (for example PH) to the drop-down list under Data → Data Validation.
  • Yearly summary: keep one sheet per month in the same file, then build a summary sheet or a pivot table.
  • Shared use: upload the file to Google Drive or OneDrive so a supervisor can update it from a phone.
  • Privacy: attendance records are personal data. Share the file only with people who need it.

Is it free for business use?
Yes, use it in your business as much as you like. Please do not resell the template.

Does it work in Google Sheets?
Yes. Upload it to Google Drive and open it with Google Sheets; the drop-downs, colours and formulas carry over.

Can it calculate overtime or salaries?
Not in this version. It tracks days only. You can add columns for hours if you need them.
