Slack Tips: 15 Ways to Keep Team Chat Organized

Slack makes team communication fast, until it becomes a constant stream of messages that nobody can keep up with. These 15 tips help you and your team keep Slack organized, quieter and easier to search.

Channels

1. Use clear channel names

Use prefixes so channels sort together: #team-sales, #proj-website, #client-abc, #help-it, #announcements. Add a one-line description to every channel.

2. Keep announcements separate

Create a #announcements channel where only managers post important news. People can mute the chatty channels without missing what matters.

3. Leave channels you don’t need

Fewer channels means less noise. You can always rejoin. Use sections in the sidebar (right-click → Create section) to group what’s left: Today, Projects, Social.

Messages

4. Reply in threads

Hover over a message and click Reply in thread. Conversations stay together, and the channel stays readable. This is the most important habit in Slack.

5. Write messages that need no follow-up

Instead of “Hi” and waiting, write the full request: what you need, by when and any links. Use bold and bullet points for longer updates.

6. Use @mentions carefully

Mention a specific person when you need their action. Avoid @channel and @here except for urgent, important messages.

7. Schedule messages

Click the arrow next to the send button → Schedule for later, so you don’t ping colleagues late at night or on their weekend.

Notifications and focus

8. Set your notifications

In Preferences → Notifications, choose Direct messages, mentions and keywords. Add keywords like your name, project or client.

9. Mute noisy channels

Right-click a channel → Mute. You can still read it when you choose.

10. Pause notifications and set a status

Use Pause notifications during focus time and set a status like “🎧 Focus until 2pm” or “🌴 On leave until Sunday”. More ideas in our focus apps guide.

Finding things later

11. Save messages and set reminders

Hover over a message → Save for later or Remind me about this (in 1 hour, tomorrow, next week). It’s a simple to-do list inside Slack.

12. Search with filters

Search Finds
in:#proj-website Messages in one channel
from:@Sara Messages from one person
has:link / has:pin Messages with links or pins
after:2026-10-01 Messages after a date

13. Pin important information

Pin key messages and files (agreed prices, process links) to the channel, or add them to the channel’s bookmarks bar.

Speed

14. Learn a few shortcuts

  • Ctrl + K (Cmd + K on Mac): jump to any channel or person
  • Alt + Shift + ↑/↓: move between unread channels
  • ↑ in an empty message box: edit your last message

15. Connect your tools carefully

Slack connects with Google Drive, Microsoft 365, calendars and automation tools like Zapier. Only add integrations your team needs, because each one adds notifications.

Simple team rules

  • Use threads for replies.
  • Urgent? Call. Not urgent? Slack. Formal or external? Email.
  • Don’t expect instant replies outside working hours.
  • Decisions and files go in the right channel, not in private messages.
