Posting regularly is hard when you have to write every caption from scratch. AI can draft captions in seconds, but if you just type “write an Instagram caption,” you’ll get generic text full of emojis and buzzwords. Here’s how to get captions that sound like your business.
Quick answer
- Write a short brand voice note once (who you are, tone, words you use and avoid).
- Give the AI the post details: product, audience, goal and platform.
- Ask for 3–5 options, then pick one and edit it.
- Add a clear call to action and a few relevant hashtags.
Step 1: Create your brand voice note
“Brand: [name], a [type of business] in [city]. Audience: [who]. Tone: friendly, simple, confident, not pushy. We say: [words you like]. We never say: ‘game-changer’, ‘elevate’, ‘unleash’. Max 1–2 emojis. Short sentences.”
Save it in a custom GPT, Claude Project or Gemini Gem so you never paste it again.
Step 2: The caption prompt
“Using my brand voice, write 5 Instagram captions for a post about [product/topic]. Goal: [get comments / visit the shop / book now]. Audience: [who]. Under 60 words each. Start with a hook in the first line. End with one clear call to action. Suggest 5 relevant hashtags.”
Caption formulas that work
| Formula | Example idea |
|---|---|
| Problem → solution | “Spreadsheet chaos? Here’s the 2-minute fix…” |
| Behind the scenes | “6 AM in our kitchen: this is how your croissants start.” |
| Tip / how-to | “3 ways to make your phone battery last longer 👇” |
| Customer story | “Fatima wanted a cake that looked like her garden…” |
| Question | “Coffee first or emails first? Tell us below.” |
| Offer | “This weekend only: free delivery on orders over 10 BD.” |
Ask the AI: “Write one caption for each of these formulas about [topic].”
Adapt for each platform
| Platform | Prompt add-on |
|---|---|
| “Strong first line, short paragraphs, 3–5 hashtags at the end.” | |
| “Professional, share one lesson or insight, no more than 1 emoji, end with a question.” | |
| “Conversational, 2–3 short sentences, include the link.” | |
| TikTok / Reels | “Write the on-screen hook text (max 8 words) and a short caption.” |
Make it sound human
- Add a real detail only you know: a customer name (with permission), a number, a place.
- Cut the hype words. Ask: “Rewrite without clichés or buzzwords.”
- Read it out loud. Would you say this to a customer in your shop?
- Arabic and English: ask for both versions, and check the Arabic with a native speaker.
Plan a month in one session
“Create 12 post ideas for [business] for next month: 6 tips, 3 behind-the-scenes, 2 customer stories, 1 offer. Include a hook for each.”
Put them in our free content calendar template, and make the images with Canva or AI image tools.
