About the exchange rates

The Lists sheet includes sample rates for USD, SAR and AED, based on their fixed pegs to the US dollar. For other currencies, or to use the exact rate from your card statement, type the rate (BHD per 1 unit) on the Lists sheet. Ask your finance team which rate your company policy uses.

How to use it

  1. Fill in the trip details at the top.
  2. Add each expense on its own line with the original currency and amount.
  3. Choose Employee or Company card under “Paid by”.
  4. Enter any cash advance you received.
  5. Print or save as PDF, attach receipts, sign and send for approval.

Tips for faster approval

  • Photograph receipts on the day. Name them clearly, e.g. 2026-10-12_Taxi_SAR85.jpg. See file naming conventions.
  • Add a short description for meals with clients: who attended and why.
  • Submit within a week of returning, while you still remember the details.
  • Check your company policy for meal limits, per diem and hotel caps.
