15 Google Calendar Tips to Save Time Every Week

Google Calendar does much more than show your meetings. These 15 tips will help you plan faster, protect your time and stop the back-and-forth of scheduling.

Speed

1. Turn on keyboard shortcuts

Go to Settings → General → Keyboard shortcuts and make sure they’re on. Then:

Key Action
c Create an event
t Jump to today
d / w / m Day / week / month view
a Schedule (agenda) view
j / k Next / previous period
/ Search

Press ? to see the full list.

2. Set a shorter default meeting length

Settings → Event settings → Default duration. Turn on speedy meetings to end meetings a few minutes early, so you get a break between calls.

3. Start the week on the right day

Settings → View options → Start week on Saturday, Sunday or Monday. You can also hide weekends.

Protect your time

4. Set working hours and location

Settings → Working hours & location (work and school accounts). People get a warning if they invite you outside your hours.

5. Block focus time

Create a Focus time event (work accounts) that can decline meetings automatically. See time blocking with Google Calendar.

6. Use Out of office

Create an Out of office event for leave. It declines new invitations with your message.

Scheduling made easy

7. Find a time

When creating an event, open Find a time to see colleagues’ availability side by side (if their calendars are shared).

8. Appointment schedules

Create a booking page so people can book a free slot with you, without emails back and forth. See online booking systems.

9. Add Google Meet automatically

New events can include a Meet link. Turn this on in Event settings if it isn’t already.

10. Show a second time zone

Settings → Time zone → Display secondary time zone. It’s helpful when you work with clients abroad.

Stay organized

11. Color-code events

Right-click an event to change its color. Use a few colors consistently: deep work, meetings, admin, personal.

12. Create separate calendars

Add calendars for projects, team leave or deadlines, and show or hide them with one click.

13. Share calendars carefully

Share “free/busy only” with most people, and full details only with your team or assistant.

14. Use tasks and reminders

Add tasks with due dates from the side panel. They appear on your calendar next to your meetings.

15. Turn emails into events

Flight, hotel and booking emails in Gmail can appear in your calendar automatically. Check this in Settings → Events from Gmail.
