How to Use AI for Customer Surveys: Write Questions and Analyze Answers

Customer feedback is one of the most valuable things a business can collect, but writing good questions is tricky, and reading hundreds of comments takes hours. AI helps with both. Here’s a simple process, from the first question to the action list.

Step 1: Decide what you want to learn

A survey with a clear purpose gets better answers. Examples:

  • Why do customers choose us (and why do some leave)?
  • How satisfied are customers after a service visit?
  • Would customers buy a new product or service?

Step 2: Let AI draft the questions

Write a customer survey for a [type of business].
Goal: [what you want to learn].
Max 8 questions, mostly multiple choice or 1–5 scales,
with 1–2 open questions. Avoid leading or double questions.
Write it in English and Arabic.

Then ask: “Check these questions for bias, confusing wording or anything that might annoy customers.”

Good vs bad questions

Avoid Better
“How much did you love our fast service?” (leading) “How would you rate the speed of our service?” (1–5)
“Was the staff friendly and the price fair?” (two questions) Split into two separate questions
“Any comments?” “What is one thing we could do better?”

Step 3: Build the form

Use Google Forms or Microsoft Forms. Both are free with a Google or Microsoft account and save answers into a spreadsheet automatically. Keep it under 3 minutes, show a progress bar, and say how you’ll use the answers. Only ask for names or contact details if you really need them.

Share the link by WhatsApp, email, a QR code on receipts (see QR codes for business) or after a support chat.

Step 4: Analyze the answers with AI

Export the responses to Excel or Google Sheets. Remove names, phone numbers and emails before pasting anything into an AI tool. See AI privacy at work.

Here are 120 open-ended answers to "What is one thing we could do better?"
1. Group them into 5–8 themes.
2. For each theme: number of mentions, 2 example quotes, and a short summary.
3. Separate complaints, suggestions and praise.
Use only what is in the answers.

For the number questions, use a pivot table or COUNTIFS, or ask AI to help. See how to analyze spreadsheet data with AI.

Step 5: Turn results into actions

Based on these themes and scores, suggest 5 practical improvements
for a small business with a limited budget. Rank them by impact and effort.

Pick 1–3 actions, assign an owner and a date, and tell customers what you changed (“You asked, we listened”). It’s the best way to get more responses next time.

Keep a feedback log

Track individual feedback and follow-ups in our customer feedback log template, and share happy customers’ comments as reviews (with permission). See how to get more customer reviews.

Quick summary

  • Start with one clear goal and 8 questions or fewer.
  • Use AI to draft questions and check them for bias.
  • Remove personal data, then let AI group comments into themes.
  • Act on the results and tell customers what changed.
